Introduction
Every member of a company on Giki has a role. The role controls what that person is allowed to do — from editing actions through to managing billing or deleting the company entirely.
There are four roles: owner, admin, standard and readonly. This article explains what each one can do, and where they differ.
The roles at a glance
| Capability | Owner | Admin | Standard | Readonly |
|---|---|---|---|---|
| Delete company | ✅ | ❌ | ❌ | ❌ |
| Manage memberships (invite/remove) | ✅ | ✅ | ❌ | ❌ |
| Manage billing | ✅ | ✅ | ❌ | ❌ |

Owner
The owner has the highest level of access. In addition to everything an admin can do, only an owner can:
- Delete the company. This is a one-way action and removes all associated data.
- Change other members' roles. Admins can invite and remove people, but only an owner can promote or demote an existing member.
Most companies will have a single owner — typically the person who created the account.
Admin
Admins can do almost everything an owner can. They can:
- Invite and remove members (but not change existing members' roles).
- Manage the subscription and billing details.
- Edit company settings.
- Create and modify actions and documents.
Use the admin role for people you trust to run the day-to-day operation of the account, without giving them the ability to delete it or restructure the team.
Standard
Standard members are your everyday contributors. They can:
- Create and modify actions.
- Create and modify documents.
They cannot change company settings, manage billing, or invite other members.
Readonly
Readonly members can see the company's content but cannot change anything. This role is useful for stakeholders, auditors, or anyone who needs visibility without the ability to edit.
Choosing the right role
As a rule of thumb:
- Give people the lowest role that still lets them do their job.
- Keep the number of owners small — ideally one.
- Use admin sparingly, for people who genuinely need to manage the account.
- Default new joiners to standard or readonly and promote them if needed.
If you're unsure, start lower — it's easy for an owner or admin to upgrade someone's role later.
